JOB TITLE: ADMINISTRATIVE ASSISTANT
Part-Time Position (20 Hours)
SALARY:
$10.30/hour

FUNCTION:
Under direct supervision of the Executive Director, assist in the day-to-day business activities of YCC. Act as liaison with staff, public and clients.

DUTIES AND RESPONSIBILITIES:
1. Support Executive Director and YCC staff and volunteers in the day-to-day operation of YCC.
2. Accomplish BCI process for YCC board members and Support Services volunteers.
3. Assist Executive Director with preparation for committee and board meetings.
4. Assist Executive Director in preparation for staff meetings including yearly training schedule, Caught Doing Good, employee of the month and meeting agenda.
5. Prepare thank you letters for all donors and correspondence for Executive Director as needed.
6. Maintain Executive Director’s grant books.
7. Maintain Board of Directors database.
8. Maintain YCC Organizational Charts.
9. Prepare YCC in-kind monthly in-kind report.
10. Maintain and log all financial donations into donor database; generate required reports; compare data base reports with fiscal office ledgers.
11. Order and monitor distribution of office supplies.
12. Responsible for rooms scheduling and set-ups.
13. Post new personnel employment openings in newspaper and fax to applicable agencies.
14. Responsible for in-house printing and inventory of YCC letterhead, envelopes, brochures, and thank you notes. Accomplish Riso printing requirements. Develop in-house forms as needed.
15. Maintain and organize copy room; maintain and update telephone lists; maintain staff sign in and sign out board; maintain staff and tenant mailboxes; and sort and deliver daily mail.
16. Perform other duties as required.

EDUCATION AND EXPERIENCE DESIRED QUALITIES:
High school diploma required, additional schooling/training desired. Bilingual Spanish/English desired. Thorough knowledge of grammar, spelling and punctuation as well as strong verbal and communication skills. Proficient in operation of general office machines and computers including Microsoft Office Professional.
